Executive Assistant (Chief of Staff) New
This Executive Assistant role goes well beyond traditional administrative support. You will serve as a trusted partner to two senior leaders, providing strategic and high-touch support that enables them to focus on business-critical initiatives. Your core focus will be on optimizing dynamic calendars, prioritizing meetings and tasks based on business objectives, anticipating scheduling conflicts, and ensuring executives are well-prepared with briefing materials and agendas.
You will schedule and coordinate internal and external meetings including leadership check-ins, customer engagements, board prep, and investor briefings. Preparing agendas, talking points, briefing documents, and action logs, as well as taking actionable meeting notes and following up with stakeholders, are key parts of the role.
Travel planning is a significant responsibility, including complex domestic and international itineraries, visa processing, accommodations, and expense forecasting while ensuring compliance with company policy. You will also provide project support for cross-functional initiatives, off-sites, and strategic events, owning event logistics end-to-end from venue sourcing to onsite execution.
Additionally, you will act as the primary liaison between executives and internal/external stakeholders, manage inbox priorities, draft communications, process expense reports and invoices, and handle confidential information with discretion.
